How to Mark a Staff Member as In Training

When a new staff member is still in orientation, you don't want their shifts skewing your PPD or budget. Add a training period to their profile to control how those shifts count — or mark individual shifts as in training directly from the schedule.

Before you start

  • You need Scheduler or Administrator access to edit staff profiles.

  • Training periods apply to a date range. Any shifts that fall inside that range — including ones already on the schedule — are automatically updated to in-training status when you add the period. Shifts outside the date range are not affected.

Add a training period to a staff member's profile

Use this path when a new hire's orientation covers a defined date range and you want all of their shifts in that window treated consistently.

  1. Go to Team in the left sidebar.

  2. Click the staff member's name to open their profile drawer.

  3. Scroll down to the Training section.

  4. Click + Add training.

  1. Set the Start date for the training period.

  2. Set the End date for the training period.

  3. Choose how shifts in this period should be counted:

    • Exclude From Budget — turn this on to leave the staff member's shifts out of your staffing budget for this period. Off by default.

    • Count Towards PPD — leave this on if training shifts should still appear in your PPD numbers. Turn it off to exclude them from PPD. On by default.

  4. Click Add training.

The training period appears in the Training section of the profile display. Any shifts that fall within the date range — including shifts that already exist on the schedule — are automatically updated to In training.


Note: You can add multiple training periods to the same staff member — for example, if orientation is paused and resumed at a later date.


Edit or remove a training period

To update an existing training period, open the staff member's profile drawer and go to the Training section. The dates and toggles are editable directly — adjust them and click Update training to save.

To delete a training period, click Remove training (shown in red). Removing the period does not automatically revert shifts that were already marked as in training — you would need to update those individually.


Mark a specific shift as in training

If you only need to flag one shift rather than a full date range, mark it as in training from the shift edit panel see — How to Edit a Shift on your Schedule.


Common questions

Q: What's the difference between "Exclude From Budget" and "Count Towards PPD"?

A: These control two separate things. Exclude From Budget removes the shifts from your staffing budget tracking. Count Towards PPD controls whether those hours appear in your PPD (hours per patient day) numbers. You can set them independently — for example, keep shifts in the budget but exclude them from PPD.

Q: What happens when the training end date passes?

A: Shifts added after the end date are not automatically marked as in training — the date range controls which shifts are affected. Shifts already within the training period keep their in-training status.

Q: Does marking a staff member as in training affect their schedule or what they see in the app?

A: No — the training period only changes how their shifts count in your PPD and budget reports. Their schedule and the Veras app experience stay the same.
