How to Add Staff Schedules

In this article we will be covering how to input team members schedules in Veras

What's New

The Schedule Editor is now a full-screen experience, giving you significantly more space to manage schedules.

A few important changes:

  • The old Apply Going Forward toggle has been removed.

  • The Effective At date is now required every time you edit a schedule.

  • The Effective At date starts blank each time the editor opens and must be selected before saving.


Opening the Schedule Editor

  1. Go to the Team page from the left navigation menu and make sure you are on the Company Staff tab.

  2. Find the employee whose schedule you want to manage, then either:

    • Click + Add or their existing schedule to edit

  3. At the top of the editor, select the appropriate Schedule Type:

    • Set Days

    • Rotation

    • Flexible (PRN)

    • Inactive

Schedule Types

Set Days

Use Set Days for staff who work consistent days and shifts each week.

Configure a Set Days Schedule

  1. In the Shifts section, select the days and shifts the employee is scheduled to work.

  2. Shift times are pulled from the assigned Shift Templates for that employee's role(s). If the employee has multiple roles, you will see multiple shift options available.

  3. To customize shift hours for a specific day:

    • Click the Edit icon on the far right of the shift row.

    • Adjust the start or end times as needed.

    Customized shifts display a small dot indicator so they are easy to identify.

This allows the budget for the schedule to remain tied to the original shift template while allowing small variations for individual employees.

  1. If the employee works a multi-week schedule rotation:

    • Click + Week to add additional weeks.

    • Configure shifts for each week individually.

  2. Total scheduled hours are automatically calculated at the bottom of each week and across the entire schedule.

Rotation

Use Rotation for staff who follow a repeating on/off schedule pattern, such as:

  • 4 days on / 2 days off

  • 5 days on / 3 days off

Configure a Rotation Schedule

  1. Enter:

    • Days On

    • Days Off

    • Shift Template

  2. To add additional rotating patterns, click + Shift Cycle.

Example:

  • 4 on / 2 off as Dietary Manager on Nights

  • 5 on / 3 off as CNA on Evenings

Individual shifts within the rotation can also have customized times when needed.


Flexible (PRN)

Use Flexible (PRN) for staff who do not have a fixed schedule and pick up shifts as needed.

No shift grid is required.

Simply:

  1. Select Flexible (PRN)

  2. Choose an Effective At date

  3. Save the schedule


Inactive

Use Inactive for employees who are still employed but should not receive scheduled shifts.


Default Areas

Areas now follow the selected Schedule Type automatically.

Instead of assigning areas separately, areas are now assigned directly to individual shifts, making mixed assignments much easier to manage.

Assign Areas

  1. Click the Area dropdown on a shift.

  2. Select the area(s) the employee should work for that shift.


Rotating Areas Across Shift Cycles

For Rotation schedules, areas can rotate independently from shifts.

Example:

  • First 4-on cycle → Long-Term Care

  • Second 4-on cycle → Memory Care West

Understanding the Terminology

  • Shift Cycles = how the employee's shifts rotate

  • Rotations = how areas or notes rotate across those shift cycles

A preview at the bottom of the screen shows:

  • The full repeating sequence

  • How areas rotate

  • When the pattern repeats


Recurring Notes

Recurring notes work similarly to Areas and can also rotate independently.

Add Recurring Notes

  1. Click the Note dropdown for a shift.

  2. Enter the note text.

Common examples:

  • One-on-one resident assignment

  • Transport responsibilities

  • Charting reminders

  • Other recurring instructions

  1. To rotate notes across shift cycles:

    • Click + Rotation

    • Configure additional note rotations as needed


Saving the Schedule

  1. Select the Effective At date.

    This field is required every time the schedule is edited.

  2. When saving:

    • The schedule will apply to posted auto-scheduled shifts on or after the effective date.

    • If posted shifts already exist after that date, an inline warning will appear letting you know those shifts will be replaced.

    • If the selected date is beyond your latest posted schedule, no warning will appear because no existing shifts will be impacted.

  3. Click Update Schedule to save.

  4. If you attempt to close the editor without saving:

    • You will be prompted to either:

      • Return and set an Effective At date

      • Leave without saving

  5. After saving, the schedule displays:

    • Created Date

    • Last Updated Date

    This helps track when the schedule was last modified.
