Before you start
You must be an Administrator or Scheduler to access print options.
You can print both posted and draft schedules. To include draft shifts in the printout, turn on Include drafts in the Advanced section of the print options.
Print the full schedule
Use this path to print the schedule for your whole department or a filtered subset of staff.
Click Schedule in the left navigation.
Click the ⋮ (three-dot) menu in the top-right corner of the schedule.
Click Print.
The Print schedule page opens. A live preview appears on the left; the Print options panel is on the right.
Set your Date range — this defaults to the week currently visible on the schedule.
Choose a Department from the dropdown.
Choose a View: Week, Day, Month, or Calendar.
Adjust Group by if needed. By default the schedule groups by Area, Position, Shift, and Time of day. Drag the rows to reorder them, or click the trash icon to remove a grouping.
Use the Filter section to narrow what appears on the printout — filter by Times of day, Shift, Area, Positions, or Staff.
Set Blank rows to add empty rows below each group. Useful for handwritten additions after posting.
See the Advanced section to turn on optional fields:

Include a message | Adds a custom text note at the top of the printout. |
Include open shifts | Shows unfilled open shifts on the printed schedule. |
Include drafts | Shows draft (draft) shifts alongside posted ones. |
Include shift across times of day | Displays shifts that span multiple time-of-day segments. |
DON signature | Adds a Director of Nursing signature line at the bottom. |
Show call offs | Displays call-off entries on the printout. |
Show time off | Displays approved time-off entries. |
Show only first letter of last names | Shortens staff names for privacy — shows "Jane D." instead of "Jane Davis." |
Exclude agency shifts | Removes agency staff from the printout. |
Show PPD | Includes the PPD (points per day) row on the printout. |
Show census note | Includes the census note field. |
Click Print in the bottom-right corner. Your browser's print dialog will open.
You'll see a preview titled "Nursing Staffing Assignments" (or the relevant department name) with your facility name, schedule date, and the configured layout.
Note: If filters or toggles aren't responding, scroll to the bottom of the Print options panel and click Reset print options. If the issue continues, try a different browser or clear your browser cache.
Print a single staff member's schedule
Use this path to print the schedule for one staff member — for example, to hand them a personal copy.
Click Schedule in the left navigation.
Find the staff member's row. Click the ⋮ icon to the right of their name.
Click Print staff schedule.
The Print schedule page opens with that staff member's shifts pre-filtered.
Set your Date range.
Choose a Department and View (defaults to Day).
Choose a Spacing style: Comfy, Default, or Compact. Compact fits more shifts per page.
Adjust Group by if needed (Area, Position, Shift, Time of day).
Set Column order — drag columns to reorder them. Available columns include Staff, Position, Shift time, and Signature. Remove any columns you don't need by clicking the trash icon.
Click Print in the bottom-right corner.
You'll see a preview titled "[Staff Member]'s Assignments" with their facility name, schedule date, and a signature column — useful for staff to sign off on their schedule.
Common questions
Q: Do I need to post the schedule before printing?
A: No. You can print at any time. If you want draft shifts to appear on the printout, turn on Include drafts in the Advanced section. Posted shifts always appear.
Q: Can I print just the AM shift or just the PM shift?
A: Yes — use the Filter section in Print options and select the shift or time of day you want. Check the preview before printing to confirm only the intended shifts are showing.
Q: The print preview looks wrong — filters aren't sticking or the layout looks off.
A: Scroll to the bottom of the Print options panel and click Reset print options. This refreshes the print preview and resolves most display issues. If the problem continues, try a different browser.
Q: Can I add blank rows for managers to fill in by hand after posting?
A: Yes — set the Blank rows field to the number of empty rows you want below each group.
Q: Where is the DON signature line?
A: Turn on the DON signature toggle in the Advanced section. It adds a signature line at the bottom of the printed schedule.
