How to Configure Your Call Off Policies

This guide shows you how to set up call-off policies in Veras. With these settings, you can decide how and when staff are allowed to call off shifts—such as setting limits per month, requiring a certain amount of advance notice, or adding a reminder message—so your team stays supported while staff keep flexibility.


Step-by-Step Instructions:

1. Go to your Settings

2. Select Policies

3. Select Call Off Policies

4. If you want to give your staff the option to call off for a shift through the Veras mobile app, enable the Allow staff call-offs toggle. (If this is not enabled, staff will not be allowed to call-off through the app, and none of the following settings will be applicable.)

5. With Allow staff call-offs enabled, you will see some new settings to configure:

  • Maximum call-offs per month: The maximum number of times an individual staff member can call off via the app per month. After this limit has been reached for a month, the app will no longer allow that staff member to call off for additional shifts.

  • Minimum hours notice required: The minimum amount of time before a scheduled shift that a staff member is allowed to call off via the app. For example, if this is set to 4 hours, staff cannot call off a shift that starts in less than 4 hours.

  • Call-off reminder message: A custom message that will display when staff requests a call off via the app.

  • Over-limit message: A custom message that will display when staff have already met their monthly call off limit, and attempt to call off another shift.

Note: Below are examples of how staff will see the Call-off reminder message and Over-limit message in the app.

After configuring your policies, remember to click the Save Changes button at the bottom to make sure you don't lose your work!
