Before you start
You need scheduling permissions to access the Schedule page. If you don't see the Filters button, ask an admin to check your role — see How to Manage User Permissions.
Filters affect your view only — they don't change, hide, or delete any shifts in the system.
If you use Areas in your community, make sure they're set up first before filtering by them — see How to Add Areas to Your Facility.
Opening the Filters Menu
Go to the Schedule page.
Click the Filters button (next to the Position dropdown).
Filtering the Schedule
The Filters menu has four sections. You can use any combination — they stack on top of each other to narrow the view further.
Areas
Select one or more Areas (the units or sections of your facility) to show only shifts assigned to those areas. Useful when you're building or reviewing the schedule for a specific wing or floor.
Shift Templates
Select one or more Shift Templates (saved start/end time pairings — for example, "Day 7a–3p") to show only shifts that use those templates. Useful when you want to focus on a specific part of the day, like all NOC shifts.
Time of Day Segments
Select one or more Time of Day Segments to filter by broad time blocks — for example, Morning, Afternoon, or Evening. If your community uses custom time segments, those will appear here too.
Staff Members
Select one or more Staff Members to show only their shifts. Useful when you're reviewing a specific person's week or resolving a coverage question.
Controlling How Staff Are Displayed
Also inside the Filters menu, you'll find two options for how staff appear on the schedule.
Always Show All Staff
When this toggle is on, every staff member appears in the schedule view — even if they have no shifts in the current date range. Turn this on when you're building a new period and want to spot who hasn't been scheduled yet.
Group by Staff Members
When Group by Staff Members is on, each staff member gets their own row on the left side of the schedule. You can sort those rows by:
First Name (A–Z)
Last Name (Z–A)
Hire Date (Jr–Sr)
When Group by Staff Members is off, staff names don't appear on the left. Instead, shifts are grouped by whichever Group By option you've selected — for example, by Area. This view is useful when you want to see at a glance how each area is covered across the day, rather than who is working.
Controlling How Shifts Look
At the bottom of the Filters menu, you can change how individual shift blocks appear on the schedule. There are three options.
Shift time only
The shift block shows the start and end time with a colored line on the side representing the area. This is the most compact view — good for weeks with a high number of shifts on screen.
Shift time in a box
The shift block shows the start and end time inside a colored area box. More visual than Shift time only — easier to distinguish areas at a glance.
Box only
The shift block shows only the area color box, with no time text. The most compact option — useful when you want a high-level area coverage view without reading individual times.
Common Questions
Q: Do filter settings save between sessions?
A: No — filters reset each time you leave the Schedule page or log out. You'll need to reapply them the next time you open the schedule.
Q: How do I clear all my filters at once?
A: Click the Reset button at the top of the Filters drawer, just above the Areas section. This clears all your current filter selections at once.
Q: What's the difference between the Position dropdown at the top of the page and the Filters menu?
A: The Position dropdown (next to the Filters button) filters the schedule by job position — it's a quick filter that lives outside the menu. The Filters menu gives you more options: filtering by Area, Shift Template, Time of Day, or specific staff members, as well as display settings. You can use both at the same time.
Q: If I filter by Staff Members, does it affect what other Schedulers see?
A: No. Filters only change your own view of the schedule. Other Schedulers see the schedule with whatever filters they've set for themselves.
Q: Can I filter to see only draft shifts or only posted shifts?
A: That filter lives outside the Filters menu — use the Status options in the schedule view controls at the top of the page to switch between Draft, Posted, or All shifts.
