Why does my schedule show shifts labeled “Scheduled Elsewhere”?

When viewing your schedule, you may occasionally see shifts that can’t be edited and are labeled “Scheduled Elsewhere.” This means the shift belongs to another schedule that’s outside the one you’re currently viewing or editing.

Why it happens

There are three reasons why a shift might show as Scheduled Elsewhere:

  • Different Position: The shift is for a position that isn’t currently selected in your Position selector (top-left of the schedule).

  • Different Department: The staff member is scheduled for a shift in another department.

  • Different Facility: The staff member is scheduled for a shift at another facility during that same day or time.

What you can do

If a Scheduled Elsewhere shift is preventing you from making necessary adjustments to your schedule, here's how to troubleshoot:

  • Check your selected positions.

    • Make sure you’ve selected all relevant positions in the Position selector. For example, if you’re trying to edit a CNA shift but only have the MT position selected, you won’t be able to make changes. You can select multiple positions at once to view and edit all applicable shifts.

  • Verify the department.

    • If the shift belongs to another department, switch to that department’s schedule using the Department dropdown in the top-left corner of the schedule page. If you don't have access to modify schedules for other departments, you may need to contact the department's scheduler to request changes.

  • Check if it's at another facility.

    • Shifts that belong to a different facility cannot be edited from your current view. Veras prevents cross-facility edits to ensure schedule accuracy across sites.
