This article is to help Admins and Managers review, edit, add, and delete employee timesheets in Time tracking.

Managing Timesheets: Reviewing and Editing Time

The Time tracking page is where you review every employee's recorded time for a date range, spot problems, and make corrections before payroll.

This guide covers:

  • Where to find Time tracking and what each part of the page shows

Who Can Manage Timesheets

Access depends on your permissions, and if your organization is using Veras Time & Attendance. Please reach out to your organization's Veras admin, or Veras Support if you believe you don't have the right access.


Finding Time Tracking

From the left sidebar, select Time tracking.


The Two Summary Cards

Above the tabs, two cards summarize what needs your attention for the selected date range. Both cards are clickable and jump you to the matching tab.

Correction Requests

The number of timesheets with a correction request waiting for you to approve or reject.

Issues

The number of timesheets with a missing punch.


Filtering What You See

The filter bar appears at the top of every tab.

Search: search for a staff member by name.

Date range: click the date button to open the calendar. You can pick custom dates or use a preset: This week, Last week, Month to date, This month, Last month, Last 3 months, Year to date, or Custom. Click Save to apply.

Filters: opens a drawer with:

  • DepartmentFilter by department

  • Care LevelFilter by care level (only appears if your community uses care levels)

  • PositionFilter by position

  • Show archived team members

A red count badge appears on the Filters button when any filter is active.

Tip: Your filters and date range are saved automatically, so the page opens the same way the next time you visit.


The All Timesheets Tab

This is the default tab. It shows one row per staff member.

Column

What it shows

Name

Employee name and their primary job position

Scheduled

Total scheduled time in the date range

Worked

Total recorded worked time in the date range

Differences

Worked minus scheduled. Shows - when there is no difference

Corrections

A blue {n} pending badge when correction requests are waiting

Issues

A yellow badge showing how many of that employee's timesheets have issues

Click any column header to sort by it.

Click any row to open that employee's full timesheet.


Opening One Employee's Timesheet

Click an employee row on the All timesheets tab. The page header changes to Timesheet Details, and your previously selected date range carries over.

Use the back arrow next to Timesheet Details to return to the list.

The Employee Sidebar

The left sidebar shows who you are looking at and gives you quick context:

  • Employee photo, name, and primary position

  • Send message button

  • Employment and Hired date

  • Accrual Balances: available hours by leave type

  • Change History: recent edits made to this employee's timesheets, grouped by day. Click any entry to jump straight to that timesheet row

  • Arrows at the top to move to the previous or next employee

The Summary Cards

Four cards run across the top of the timesheet:

  • Worked: total recorded time in the date range

  • Scheduled: total scheduled time

  • Differences: worked minus scheduled

  • Overtime: overtime hours, shown in orange when above zero


Reading the Timesheet Table

Above the table, filter pills narrow the list, each with a live count: All, Corrections, Issues, Missing break, and No events. The Add timesheet button sits to the right.

Each row is one calendar day.

Column

What it shows

The shift date, and beneath it the scheduled window (for example, 7:00 AM - 3:00 PM) or Unscheduled

Clock in and clock out times. Click this cell to edit them

Expanding a Timesheet Row

Click anywhere on a row to expand it. The expanded view shows the full punch detail.

Shift: the scheduled window and position abbreviation, or Unscheduled.

Punch detail: one row per event, in order: Clock in, Break start, Break end, Job change, Clock out. Multiple breaks are numbered (Break start 1, Break start 2).

Each punch shows a small icon indicating how it was recorded. Hover for the source:

  • Event occurred via mobile app

  • Event occurred via kiosk

  • Event occurred via correction

  • Event occurred via admin update

  • Event received from integration

Clock in and clock out also show how far off schedule they were, for example 12m late or 5m early.

Totals: Worked, Break, Scheduled, and Differences for that shift.

Hour type badges: how the shift's hours are categorized, for example REG 7h, OT 30m, or a differential code such as NOC 4h.


Editing a Punch Time

There are two ways to edit, depending on how much you need to change.

Quick Edit: Clock In and Clock Out

  1. Click the time in the Time column of the collapsed row

  2. The times become editable and the row expands

  3. Adjust the clock in and clock out times

  4. Choose a Reason for change and add an optional Note

  5. Select Save

If a punch is missing, a time field appears prefilled with 12:00 AM — set it to the correct time before saving.

Full Edit: Everything Else

  1. Expand the timesheet row

  2. Select Edit timesheet

  3. Update any of the following:

    • Clock in and Clock out times (use the × to clear a punch entirely)

    • Break start and Break end times, or remove a break with the trash icon

    • Job change times

    • Position — only shown when the employee holds more than one position

    • The clock-out date, if the shift crosses midnight

  4. Use the Add button to add a Break, or an Add job change if the employee holds more than one position

  5. Choose a Reason and add an optional Note

  6. Select Save

You can also click any punch row directly to jump straight into editing.

Once saved, you'll see the confirmation Timesheet correction saved. Manager edits apply immediately — they do not need to be approved by anyone else.


What You Cannot Edit Here

  • Pay codes and hour types (REG, OT, differentials) — these are calculated from the punches and the employee's pay rules

  • The scheduled shift itself: change that from the Schedule

  • The clock-in date:delete the timesheet and add a new one instead


Adding a Timesheet Manually

Use this when an employee never punched at all, or worked a shift that was never scheduled.

  1. Open the employee's timesheet

  2. Select Add timesheet above the table

  3. Choose the Date — only dates inside your selected date range are available

  4. Enter the Clock in and Clock out times (both required)

  5. Select the Position, if the employee holds more than one

  6. Add any breaks or job changes

  7. Under Why is this timesheet being added?, choose a Reason and add an optional Note

  8. Select Save

Manually added timesheets are always Unscheduled.


Deleting a Timesheet or Shift

Expand the row and select the delete option at the bottom.

Select Delete to confirm.


Seeing What Changed

Every expanded timesheet has a panel on the right with two views.

Changes

A running list of what is different from the original punches, for example:

  • Clock in changed: 7:00 AM → 7:15 AM

  • Break start added: 12:00 PM

When nothing has been changed it reads No changes made.

History

Select History to open the full timeline. It shows, newest first:

  • The original punches and how each was recorded

  • Timesheet edited entries, with each individual change listed

  • Correction request submitted, Correction request approved, Correction request rejected, and Correction request cancelled

Each entry shows who made the change and when. Timesheet edited and Correction request submitted entries also show the Reason and any Note that was entered.


Timesheets Locked by Payroll

Once a timesheet has been approved for payroll, it can no longer be edited. If you try to save a change, you'll see a message:

  • This timesheet cannot be edited because it has already been approved for payroll.
