Resolving Timesheet Issues and Correction Requests
Two kinds of problems can hold up a timesheet, and they are handled differently:
Issues — a punch is missing. Veras flags these automatically. You fix them, or ask the employee to
Correction requests — an employee has asked you to change something. You approve or reject them
Both must be cleared before a timesheet can be approved for payroll.
This guide covers:
What counts as a timesheet issue and how each one is cleared
How to message employees about their own timesheets
Where correction requests appear and how to review them
What happens after you approve or reject
Part 1: Timesheet Issues
What Counts as an Issue
Veras flags a timesheet when a punch is missing:
Issue | What happened |
Missing clock in | The shift has no clock in recorded |
Missing clock out | The employee clocked in but never clocked out |
Missing break start | A break has an end time but no start time |
Missing break end | A break was started but never ended |
Missing break | The shift was scheduled with a break, but no break was punched |
A shift with no punches at all is flagged for visibility but is not counted as a blocking issue — it appears under the No events filter with the hover text No events recorded for this shift.
A shift the employee is still on isn't flagged right away. Veras waits up to 20 hours from the clock in before treating a missing clock out or an unfinished break as an issue. (A break that has an end time but no start time is flagged immediately.)
Issues are surfaced for the date range currently selected in the filter bar — widen the range if you're looking for older problems.
Where Issues Appear
The Issues card at the top of the Time tracking page, subtitled Invalid timesheets
The Issues tab
The yellow badge in the Issues column of the All timesheets tab
The Issues and Missing break filter pills on an individual employee's timesheet
A yellow warning icon on the affected timesheet row
A warning banner on the Pay page
Why Issues Matter
Issues block payroll in two ways:
An employee with any open issue cannot be selected for timesheet approval.
Hours on invalid timesheets are excluded from payroll.
Reading the Issues Tab
Each row is one problem timesheet, so the same employee can appear more than once.
Column | What it shows |
Name | Employee name and primary position |
Shift | The shift date and the scheduled window |
Issues | A red bulleted list of what's missing, for example Missing clock out |
Correction request | A blue Pending approval badge if the employee has already submitted a fix, otherwise |
Actions | View if there's a pending correction, otherwise Message |
Two Ways to Clear an Issue
Option 1 — Fix it yourself
Click the row to expand it and edit the timesheet inline, or open the employee's full timesheet to make the change there. Add the missing punch, choose a Reason, and select Save.
Manager edits apply immediately. See Managing Timesheets: Reviewing and Editing Time for the full editing steps.
Option 2 — Ask the employee to fix it
Select Message on the row. The Send Message modal opens with a message already drafted for you:
Hi {First name}, it looks like there's an issue with your timesheet for
{Date}:
• Missing clock out
Please review and update it.
Thanks!
Edit the message if you'd like, then select Send message. You'll see the confirmation Message sent successfully.
The employee can then submit a correction request from the Veras mobile app, which comes back to you for review.
Tip: Messaging the employee is usually the better choice when you don't know what actually happened. Editing the timesheet yourself is faster when you already know the correct times.
Part 2: Correction Requests
What an Employee Can Request
From the Time tab of the Veras mobile app, an employee opens a shift and selects Manage timesheet. They can request to:
Change a Clock in or Clock out time, or add one that's missing
Change, add, or remove a break
Add or change a Job change (a position switch mid-shift)
Change the Position they clocked in under
They must select a Reason and may add a note. Employees cannot request corrections for a future shift or for a shift that is still in progress.
Do Corrections Need Approval?
That depends on your community's settings. Under Time tracking settings, in the Timesheet Corrections section:
Staff Timesheet Corrections — Allow staff to submit timesheet corrections for their shifts.
Require Approval — If enabled, corrections must be reviewed by an admin before applying.
If Require Approval is off, employee corrections apply immediately and never reach your queue.
Where Correction Requests Appear
Pending requests show up in several places, so you can review them wherever you happen to be:
Time tracking → Correction Requests card and the Corrections tab
Scheduling Dashboard → Timesheet corrections widget, with a View all link
Messages — a correction request card appears in your conversation with the employee
Issues tab → View action, when the request is against a timesheet that also has an issue
Inline on the timesheet itself, as a Correction Request card at the top of the expanded row — this is the only place the employee's note is shown
What a Request Shows You
Each request card shows:
The employee's name
Submitted (date/time)
The date of the shift being corrected
A line-by-line list of the requested changes, for example:
Clock in changed: 7:00 AM → 7:15 AM
Break start added: 12:00 PM
Clock out deleted: 3:00 PM (struck through)
View full timesheet — expands to show the timesheet as it stands today, with (Missing) in yellow for any absent punch
To read the employee's note, open the timesheet itself and expand the row — the Correction Request card there includes it.
Before deciding, check that the requested times are plausible against the scheduled shift and that the reason matches what you know about the day.
Approving or Rejecting
On the Corrections tab and the Dashboard widget, use the two icon buttons in the top right of each card:
Green ✓ — approve
Red ✕ — reject
Note: Rejecting does not require a reason. If the employee needs an explanation, message them directly.
What Happens After You Approve
The requested times replace the original punches
The original punches are archived, not deleted — they stay visible in the timesheet's History
Leave accrual balances are recalculated based on the corrected hours
Any issue the correction fixed is cleared
The employee is notified: Your timesheet correction request for {date} has been approved.
What Happens After You Reject
Nothing on the timesheet changes — the original punches stand
Any issue on that timesheet remains open, so you'll still need to resolve it another way
The employee gets a push notification: Timesheet correction request for {date} rejected, please contact your scheduler with any questions.
Employees can also cancel their own pending request before you review it. That closes the request without changing anything.
Employee Notifications
Employees are notified by push notification by default. They can turn on email and SMS for Timesheet correction approved and Timesheet correction rejected in their notification settings.
Who Can Review Corrections
Access depends on your permissions, and if your organization is using Veras Time & Attendance. Please reach out to your organization's Veras admin, or Veras Support if you believe you don't have the right access.
