How to Set Up Recurring Assignment Templates

A recurring assignment template is a saved task that Veras rebuilds on the days you choose. Settings is the only place you can put a template on more than one time of day, change which weekdays it runs, or take it out of rotation.

Before you start

  • You need access to Settings to change templates. If you don't see Setup at the bottom of the left sidebar, ask an Administrator to update your role — see How to Manage User Permissions.

  • Templates are kept per department, on separate tabs. Pick the right department tab before you edit anything — see How to Set Up and Use Departments.

  • A template decides who *can* take an assignment, not who does. You still pick the person day-of on the Assignments page — see How to Use Assignments.

  • Note: Changing or archiving a template does not touch assignments already on past or current days. Your changes show up on days Veras builds afterward.


Edit a recurring template

Every recurring template lives on the Settings › Assignments page. This is the only place you can widen a template to more times of day or more days of the week. You can also start a brand-new template here with + New assignment in the top-right corner.

  1. At the bottom of the left sidebar, click Setup.

  2. Click Settings.

  3. In the Settings menu, click Assignments.

  4. Click the tab for the department you want (e.g., Nursing or Dietary). The number on each tab counts the templates in that department.

  5. Find the template you want and click Edit.

  6. Under Times of day, click AM, PM, and NOC to pick as many as you need. Unlike the Assignments page, this window lets you pick more than one.

  7. Under Weekdays, check every day the assignment should run. If you check nothing, Veras never schedules the assignment.

  8. Change the Eligible job positions, the name, the area, or the notes if you need to. Notes appear on every assignment Veras builds from this template.

  9. Click Save.

Each template shows as a card with its name, its area and how often it runs (e.g., Long Term Care · Every day), and small tags for its times of day and its eligible positions. After you save, the card updates and the assignment is listed on the Assignments board once for each time of day you turned on — so a template set to AM, PM, and NOC produces three rows to staff.

Archive or restore a recurring template

Archiving takes a template out of rotation without deleting your history. Use it when a standing task goes away for good.

  1. On the Settings › Assignments page, find the template and click Archive.

  2. Read the confirmation window, then click the red Archive button.

  3. To bring the template back, find it again and click Restore.

Note: Archiving only affects days Veras builds after you archive. Assignments already on past or current days stay exactly as they are, so your old assignment sheets are safe.


Common questions

Q: Can I set a recurring assignment for more than one time of day?
A: Yes, but only here in Settings. Click Edit on the template and pick as many of AM, PM, and NOC as you need, then click Save. The + Add assignment window on the Assignments page allows only one time of day.

Q: Why isn't my template showing up on the Assignments board?
A: Check three things. First, the Weekdays on the template — if none are checked, Veras never schedules it. Second, the department tab, since a Nursing template never appears on the Dietary board. Third, whether the template has been archived, which stops it building on new days.

Q: I archived a template by mistake. Did I lose my old assignment sheets?
A: No. Archiving only affects days Veras builds after you archive. Past and current days keep their assignments. Find the template on the Settings › Assignments page and click Restore to put it back in rotation.

Q: What does the number next to each department name mean?
A: It counts the templates saved for that department. A tab showing 0 has no templates yet, so nothing from that department will land on the Assignments board.

Q: Do I pick the staff member here?
A: No. A template sets which positions are allowed to take the assignment, not who does it. You pick the person day-of on the Assignments page — see How to Use Assignments.

Q: Will my changes update assignments that are already on the board?
A: No. Changes apply to days Veras builds after you save. To pull the updated template onto a day that already exists, open that day's three-dot menu and use Add templates or Reset to templates — but note that Reset to templates throws away the staff and notes already on that day.
