Before you start
You need Administrator or Scheduler permissions to archive staff. If you don't see the Archive option in the three-dot menu, ask an admin to update your role — see How to Manage Permissions for a Specific User.
Archiving removes the staff member from active scheduling and reports going forward. Their worked shift history stays visible for audit and reporting purposes — archiving does not affect historical data.
Any future shifts assigned to this staff member will automatically be converted to open shifts. Plan to fill or share those shifts after archiving — see How to Fill an Open Shift.
Archive a staff member from the Team page
In the left sidebar, click Team.
Use the Search bar to find the staff member you want to archive.
Click the three dots on the right side of their row.
Select Archive.
In the Archive Staff dialog, confirm the staff member shown is correct.
Click Archive Staff.
The staff member disappears from the active team list. Their future shifts are now open shifts on the schedule.
Restore an archived staff member
Archiving is reversible. If a staff member returns to your facility, restore them to bring them back to active status.
Go to the Team page.
Click Filters
Click the Show archived team members checkbox.
Click the three dots next to the desired staff member.
Click Unarchive team member

The staff member returns to the active team list. Their schedule is preserved, but you will need to apply schedules for them. See Build the next schedule with Apply Schedules.
Common questions
Q: What happens to the staff member's future shifts when I archive them?
A: Future shifts are automatically converted to open shifts. They stay on the schedule and are visible to Schedulers and Administrators — but the staff member is no longer assigned to them. Use How to Fill an Open Shift or How to Share Open Shifts to get those covered.
Q: What happens to shifts they already worked?
A: Worked shifts stay on the schedule and remain visible for audit and reporting purposes. Archiving a staff member does not delete their history.
Q: Can I undo an archive?
A: Yes. Go to the Team page, filter by Archived status, click the three dots next to the staff member's name, and select Restore. See the Restore section above.
Q: Does the staff member lose access to the Veras app when I archive them?
A: Yes — archiving removes their access to the Veras app immediately. If the staff member returns, restore them and re-send their login details.
