What are the Three-Dot Menu Options for a Staff Member

Click the three dots next to any staff member on the Schedule to get quick actions for that one person — adding shifts, applying their schedule, archiving them, and more. This article explains what each option does.

Before you start

  • You need Scheduler or Administrator permissions to see and use the three-dot menu.

  • Each option affects only the staff member whose row you clicked — not your whole team.


How to find the three-dot menu

  1. In the left sidebar, click Schedule.

  2. Find the staff member's row. Click the three dots (⋯) to the right of their name to open the menu.


What each option does

Add new shifts

Opens the shift creation panel for this staff member so you can add one or more shifts manually — for example, extra coverage on a busy day or a one-off shift outside their regular schedule.

Apply schedule

Builds draft shifts for this staff member based on their saved recurring schedule. Use this for one-off cases — like a new hire starting mid-period, or a staff member who was missed during the bulk Apply Schedules run.

  1. Click the three dots next to the staff member's name.

  2. Select Apply schedule.

  3. Choose the Date Range for the new shifts.

  4. Click Apply.

The new shifts are added as drafts. Publish them when the schedule is ready.

Note: You'll need to add a recurring schedule to this staff member's profile before this option generates shifts. See How to Add Staff Schedules.

Assign open shifts

Bulk-assigns existing open shifts to this staff member. If the staff member has shift preferences set up, Veras flags the shifts that match their preferences to help you decide which ones to assign.

Unassign shifts

Removes this staff member from their scheduled shifts. Veras asks whether you want to:

  • Convert to open shifts — the shifts stay on the schedule and become available for someone else to pick up or be assigned.

  • Delete the shifts — the shifts are permanently removed from the schedule.

If you choose to delete, those shifts cannot be recovered.

Publish/Unpublish shifts

Makes this staff member's draft shifts visible to them in the Veras app, or pulls published shifts back to draft so you can make changes.

  • Publish shifts — changes their shifts from draft (visible only to Schedulers and Administrators) to published (visible to the staff member the next time they open the Veras app).

  • Unpublish shifts — pulls their published shifts back to draft.

Note: This publishes or unpublishes shifts only for this one staff member. To publish or unpublish shifts for your whole team at once, see How to Publish the Schedule and How to Un-Publish Shifts.

Add time off

Marks specific days as unavailable for this staff member — useful for sick days, planned vacations, or any other absence.

Note: Time off added here does not sync with your HRIS or payroll system. If your community tracks time off in a separate system, update that record separately.

Print staff schedule

Prints the schedule for this staff member only. Use this when you need a printed copy of one person's shifts — for example, to hand to them directly.

Delete shifts

Permanently deletes shifts for this staff member. Deleted shifts cannot be recovered.

Use this when you need to remove shifts entirely — not just unassign the worker. If you want to keep the shifts on the schedule as open shifts instead, use Unassign shifts above.

Archive staff

Removes this staff member from active scheduling. Use this when someone leaves or is no longer available for scheduling.

What happens when you archive a staff member:

  • All of their future shifts become open shifts.

  • Past shifts remain on the schedule for historical tracking.

  • The staff member no longer appears in the active staff list.

Archiving converts all of this person's future shifts to open shifts and removes them from active scheduling. To bring them back, you'll need to unarchive them separately — see How to Archive, and Unarchive a Staff Member.


Common questions

Q: Where do I find the three-dot menu?

A: Go to the Schedule page and click the three dots (⋯) to the right of any staff member's name. If you don't see them, check that you have Scheduler or Administrator permissions — see How to Manage User Permissions.

Q: Does publishing from the three-dot menu notify the staff member?

A: No. Veras does not send a push notification when shifts are published. The staff member sees their new published shifts the next time they open the Veras app.

Q: What's the difference between Unassign shifts and Delete shifts?

A: Unassign shifts removes this person from their shifts and gives you the option to keep those shifts on the schedule as open shifts — so they can still be filled. Delete shifts permanently removes the shifts from the schedule entirely. When in doubt, use Unassign.

Q: What's the difference between Unassign shifts and Archive staff?

A: Unassign shifts removes this person from specific shifts. Archive staff removes this person from all future scheduling and converts all their upcoming shifts to open shifts at once.

Q: Can I use these options for multiple staff members at the same time?

A: No — the three-dot menu acts on one staff member at a time. For bulk actions across your whole team, use the Apply Schedules button or the multi-select tools on the schedule.
