Auto-share open shifts

Set your priority groups once. Veras messages open shifts group by group until someone picks them up.

What auto-share does

Auto-share fills open shifts for you. You set up priority groups once, like PRNs first, then staff with no overtime. When a shift is open, Veras messages the first group. If no one picks it up, it waits, then moves to the next group, until the shift is filled.

Set up your auto-share policy

Go to Settings > Policies > Auto-share Policy. Each department has its own policy.

  1. Groups: add up to 10 groups and drag them into order. The top group is messaged first.

  2. Attributes: pick who is in each group: PRN, No overtime, Overtime, Scheduled same day, or Specific staff. If you pick more than one, staff must match all of them. Specific staff are always included.

  3. Ranking: click Edit ranking to choose who in the group goes first: Preferences, Fair rotation, Care rating, Cost, or Tenure.

  4. Batch size: how many people get each shift at once. Leave it on All to message the whole group.

  5. Time between batches: how long Veras waits before the next batch or group (5 minutes to 24 hours).

  6. Send hours: only send messages during set hours, like 9 am to 5 pm.

  7. Automatically share open shifts: turn on to share shifts on their own, starting this many days before the shift (0 to 30).

  8. Hide open shifts during auto-share: keep shifts off staff's Open Shifts list until auto-share ends.

Click Save changes.

Start auto-share on a shift

If Automatically share is off, or you want to share now:

  1. Open the shift and click Share.

  2. Turn on Auto-share.

  3. Pick which groups to use this time. You'll see who is in each group and about when each group will be messaged.

  4. Add a message or an incentive (optional).

  5. Review and click Start auto-share.

Who gets skipped

Veras won't message someone who has time off that day, is already working at that time, or is working a shift at another community. No one gets the same shift twice.

Track or stop it

On the schedule, shifts being auto-shared show Auto-share active. Open the shift to see which group is being contacted and who was messaged.

To stop, click Stop auto-share. No new messages go out. Invites already sent still work.

Auto-share stops on its own when the shift is filled, when everyone eligible has been messaged, or when the shift starts before the next send hours.

FAQs

I don't see Auto-share Policy in Settings.

Auto-share must be turned on for your community. Message us to turn it on. Admins and Schedulers can edit the policy when their role has the Manage auto-share policy permission.

What do staff get?

A message in the Veras app with the shift. They tap to accept. Staff offered several shifts get one combined message.

Can I still share a shift the normal way?

Yes. Direct shares work like before, even when Hide open shifts is on.
